Administrative Assistant

15-20HRS per week.

What’s the Role:

The key functions of the role are to provide rostering and basic administrative support to the organisation, including responsibilities such as, actioning participant/staff requests, daily rostering data entry/reporting, assisting with recruitment, learning and development, and support with general organisational tasks as required. Other functions include the maintenance of the organisation asset and risk assessed roles registers and ensuring the work environment is maintained in accordance with organisational policy and legislative requirements for Duty of Care and Occupational Health and Safety. The role requires a high degree of attention to detail, with strong organisational skills and well-developed interpersonal skills in both verbal and written communication.

The role will have the following roles and responsibilities:

 

General duties

  • Responding to client, and other providers enquiries/feedback in a timely, efficient, and supportive manner.

  • Human resource data entry and coordination support. 

  • Create and administer personnel files, electronic records and maintain records of staff onboarding/induction, training and development in accordance with applicable policy or procedure. 

  • Ensure staff records are maintained.

  • Provide day to assistance to the Director and Office manager in finalising tasks. 

  • Build, generate systems, Canva documents/marketing material as required.

  • Contact current, past and prospective clients. 

  • Attend to office administrative duties as required.

 

Rostering and timesheet management

  • Respond to and appropriately manage staff/client enquiries relating to the roster and staff/client requests.

  • Ensure when rostering suitably trained and appropriately matched staff with clients and travel distance.  

  • Maintain positive relationships with Insurance & NDIS providers, Booking agents staff and relevant stakeholders.

  • Daily data integrity checks of work schedules and bookings.

  • Assist with approval of timesheets and check for accuracy to allow for timely processing of payroll. 

 

Recruitment and termination of staff 

  • Support the recruitment and onboarding of new staff with administrative tasks.

  • Ensure that recruitment and selection practices are undertaken in accordance with One clean values and established policies and procedures.

  • Ensure all staff onboarding qualifications and checks are correctly entered on Monday.

  • Coordinate the induction of new staff.

  • Maintain records of One cleans’ property held by staff and ensure return on conclusion of employment. 

Key Selection Criteria 

  1. Knowledge/experience - Demonstrated knowledge/experience working in a similar role with a client management system, Canva , Monday and other general office systems.

  2. Attitude -A commitment to the Vision, Mission and Values of One clean and you are enthusiastic and a service minded individual who can demonstrate a sound work ethic and attention to detail.

  3. Skills – Ability to communicate effectively, plan and prioritise and deliver results.  Ability to resolve issues in a timely manner. 

  4. NDIS Knowledge - Understanding of the NDIS support model is desirable.

  5. Customer Focus and Communication- You will have excellent verbal and written communication proficiency, strong interpersonal skills, and a continuous improvement and person-centred approach.

  6. Time management- Excellent time management skills and the ability to handle multiple tasks, priorities, and deadlines with a ‘no fuss’ approach.

  7. VISA- Must have full-time working rights to work in Australia.

Part-time position:

9:30am – 3pm

2 to 5 days per week (available Monday through Friday)

There is a high degree of flexibility available with this part-time role, including working different shift each working week to enable you to still manage a work/ life balance around family commitments .

We are currently recruiting domestic cleaners and housekeepers to join our team. Your services will be to support busy professional couples, elderly, individuals and families with their home cleaning and general housework and or to assist with the very busy local Boutique accomodation industry. The work you do contributes to quality time for busy people wanting their weekends back and time for themselves....and a clean and tidy home.

Requirements:

Before you proceed with your application, please check the questions below to ensure the job suits your needs and you meet our requirements:

  • Do you have your own car? You will need to have your own car to travel to and from jobs. If you don't have a car, consider teaming up with a friend or family member with a car.

  • Do you have knowledge and experience using cleaning equipment and products? You must have experience in cleaning your own home or have worked in the cleaning industry and have good knowledge of cleaning equipment and cleaning products.

  • Can you communicate in written and spoken English? Communicating with our clients and the Agency is essential. You will need to be able to receive emails and phone calls from the Agency and Agency Clients. You will need to read labels on cleaning products and equipment to ensure you are using the correct product for each surface.

  • Do you love to make houses look fabulous?

  • Are you passionate about leaving a home much much better than when you found it?

  • And do you have a passion for cleaning and are you looking to be a cleaning professional?

  • Are you available to work a minimum of 10 hours per week? You can work as many hours as you want between 10 and 30 hours. There are rostered weekends with the accomodation but no evening work, the vacancies are basically Monday to Friday.

  • Have or are prepared to obtain a Police Check, Working with children's check & NDIS screening check.

Are you available to work 3-4 hour shifts? The weekly rosters for domestic cleaning are permanent. Our clients expect the same cleaner on the same day each week. We cannot provide work for Students with changing study timetables or people wanting different shifts each week.
